ControlMax is the name given to describe Diesel Direct 'Smart' business rules that give real control to the fleet operator on how his drivers use their fuel cards. This is achieved through a combination of rules that can be set either at account or individual card level to control when and how much fuel a driver can draw from the C H Jones network.
ControlMax comprises of a number of different rules, any or all of which can be set depending on the level of control required and the basis on which the fuel cards are made available to drivers.
Please note all the controls and rules below can be defined at account level and then overridden for specific cards as required to reduce the set-up and maintenance. As you would expect these can all be set and managed via our interactive customer web service Efuels.
Days Allowed to Draw
The fuel card can be set up to either allow drawings any day of the week or to limit to specific days. For example; within this rule it will be possible to set up a card as a Monday to Friday card only. This will mean that the card will not be allowed to draw fuel on a Saturday or Sunday. Each of the days allowed may be set individually allowing the fleet manager or card issuer to tailor the use for each individual driver or vehicle depending on their operational pattern.
Drawing Times
The Smart fuel cards can be set to only allow drawings within a set time frame. This time frame will then apply on all days that the cards are allowed to be used. This extends the ability of the Fleet Manager to control use of the fuel cards in that the cards, for example; only allow drawings between 06:00 and 20:00 or whatever times are appropriate to the operation of that driver or vehicle.
Fill limit
The fuel cards can be assigned with the fill limit/tank size for the vehicle to which it is allocated. This means that if the card is allocated to a company car then the limit can be set at, 75 litres while for a truck with a 500 litres fuel tank the limit can be set at 500 litres.
Daily Limit
Fuel Cards can be set up with a daily volume limit of fuel that can be drawn. This should be set to be the maximum that the Fleet Manager would expect that vehicle to draw in any single day. This could be the same as the fill limit or a larger amount as appropriate and ensures that the card cannot be misused to draw more than allowed.
Daily transaction limit
A number of allowed drawings per day can be defined. This can work in conjunction with the daily limit and/or fill limit to control the use of the card. A Fleet Manager may prefer to set up a card with a defined fill size and an allowed number of drawings per day rather than a daily limit or indeed all three.
Weekly limit
The card can also be assigned a weekly, or 7-day limit. This again should be set to the maximum that that vehicle would be expected to use within a week and when used with the fill and daily limits give real control on card usage. For card resellers or customers that make cards available for sub-contractors this also means that a 'real' weekly credit limit can be imposed.
Weekly transaction limit
As with the daily limit the card can also be set to have an allowed number of transactions per week. This can then be used with the fill and/or weekly limits to create an allowed use or exposure that a Fleet Manager or card issuer is comfortable with for that card and customer.
